Booking and Cancellation Conditions

Booking information
* Rooms will be allocated on a first-come, first-served basis according to availability.
* A credit card guarantee is required to secure your reservation.
* All hotel expenses must be paid directly during the online booking process. The number of nights booked in advance will serve as the basis for your hotel invoice. Please note that the hotel is entitled to charge all pre-booked nights.

Cancellation
* For room cancellations received until 13 March 2026, a handling fee of EUR 70.00 per cancelled room will be charged to your credit card.
* For room cancellations received from 14 March 2026, one (1) night of the room rate will be charged to your credit card.
* The pre-booked nights are binding for the hotel. In case of a shortened stay, the hotel is entitled to charge all pre-booked nights. In the event of a No-Show, the reservation will be released after the first night.
* In case of cancellation or No-Show, Austropa Interconvention is authorized to charge your credit card with the applicable cancellation fees.

If you book a trip, accommodation, or any other service, we collect the necessary details directly from you or – if you are not making the booking yourself – indirectly from third parties (e.g., your employer, intermediary travel agents, friends or family members, or other organizers). This includes all information required to complete your travel arrangements, such as arrival and departure dates and locations, airline, hotel, or car rental details.
We may also collect special categories of personal data in order to provide accessibility services, dietary preferences, or other requested services. Where required, we may also need passport details from travellers. If we arrange travel services for accompanying persons, we may collect the same categories of data from them. Please ensure that you forward this information to any individuals whose data you provide as part of a booking.

Your customer data is stored in your travel or guest profile, where we retain all information necessary for processing your booking and delivering our services. You may also provide additional information in your profile, such as frequent flyer credentials, regulatory identification numbers, or emergency contact details.

If personal data is not transmitted by the data subject themselves but by another representative of the customer, the customer is obliged to inform the data subject about the transfer of their data to Ruefa GmbH as well as the onward transmission by Ruefa GmbH to the recipient categories described in the Privacy Statement.

Austropa Interconvention acts solely as an agent and cannot be held responsible for any loss, injury, or damage to persons or property, regardless of the cause. The liability of the companies or individuals providing transportation or other services remains unaffected. Austropa Interconvention cannot be held liable for the partial or complete cancellation of the congress, or for any change in its date. In the event that the congress is cancelled or rescheduled by the congress organiser, Austropa Interconvention shall not be liable for any costs incurred or disadvantages suffered, including consequential losses, resulting from such cancellation or change of date.

Both parties shall be released from their contractual obligations under this Agreement in cases of “force majeure.” Events deemed to constitute force majeure include: war, occupation, riot, strike, complete breakdown of public utilities, and complete suspension of air traffic (except for weather-related or strike-related reasons), provided that the hotel and its operations are directly affected.

In the event of a cancellation or change of date of the congress, as well as in cases of force majeure, all expenses already incurred—particularly processing and administrative costs—shall be charged to the company/contractor.

The accommodation provider may offer guests suitable alternative accommodation (of equivalent quality), provided that this is reasonable for the guests—especially when the difference is minor and objectively justified. Such justification may include situations where rooms become unusable, previously accommodated guests extend their stay, the property is overbooked, or other important operational circumstances make a change necessary. Any additional expenses arising from such substitute accommodation shall be borne by the hotel.

For all disputes arising from this Agreement, both contracting parties expressly submit to the court having subject-matter jurisdiction in Vienna, which shall be the exclusive venue. Austrian law shall apply.

Accommodation FAQ – EAN Congress 2026

This FAQ is intended to support with practical information regarding hotel accommodation in Geneva.

Austropa Interconvention has been appointed as the official housing office for the EAN Congress 2026. The team is responsible for managing hotel room allotments and accommodation-related enquiries for the congress.

Booking through the official housing office ensures:

  • Professional support before and during the congress

A broad range of hotels has been secured, including 5-star, 4-star, 3-star, and budget hotels, located either in central Geneva or close to Geneva Airport. All hotels offer practical public transport connections to Palexpo.

Availability is limited and subject to change.

The EAN Congress 2026 will be held at Palexpo – Congress & Exhibition Centre, Geneva, located next to Geneva Airport.

Most hotels included in the official portfolio are connected to Palexpo via direct public transport lines. Travel times typically range from 15 to 35 minutes. Some hotels are within walking distance of the venue.

Delegates staying in hotels in Geneva receive a free public transport ticket from their hotel, valid for the duration of their stay. This ticket allows unlimited use of Geneva’s public transport network, including buses, trams, and trains within the local zone.

Please note: EAN does not provide any shuttle services. Delegates are expected to use public transport or make their own transportation arrangements.

Yes. All published rates are per room, per night and include breakfast, service charges, and all applicable taxes, including the local city tax.

Please note that from 1 January 2026, the city tax in Geneva is CHF 4.25 per person, per night.

Yes. Delegates staying in registered hotels within the Canton of Geneva receive a free public transport ticket, provided by their hotel.

When you stay in Geneva, you will receive a free digital version of the Geneva Transport Card, which allows you to use public transport free of charge for the entire duration of your stay.

The card is personal and non-transferable and grants unlimited access to Geneva’s public transport network UNIRESO, including:

  • Buses (TPG)
  • Trams
  • Local trains (CFF)
  • Boats (Mouettes genevoises)

Three days prior to your arrival, your hotel will send you an email with a link enabling you to download the Geneva Transport Card on your smartphone. This allows you to use public transport from Geneva Airport to your accommodation.

Registration for multiple participants:
If a booking includes more than one person, the individual who made the accommodation booking will receive the Geneva Transport Card by email. The email contains a link to register all other guests sharing the room.

This service is offered by the City of Geneva, applies regardless of nationality, and requires no additional application or payment.
Please note that hotels located outside the Canton of Geneva may not be able to issue this ticket.

To help mitigate unforeseen circumstances, Conference Attendee Cancellation Insurance is available. This insurance covers cancellation costs for insured reasons, such as sudden illness, and also applies in the event of early termination of participation.

Getting Around Geneva

Geneva offers a well-connected, reliable, and easy-to-use public transport system. This guide provides practical information to help delegates travel efficiently during the 12th Congress of the European Academy of Neurology (EAN).

Delegates staying in registered hotels within the Canton of Geneva receive a free public transport ticket, provided by their hotel.

This ticket is offered by the City of Geneva and is available to all guests, regardless of nationality. No additional registration or payment is required.

  • Taxis can also be booked via hotel reception
  • Ride-hailing services may be available but are less common than traditional taxis
  • No ticket validation is required when using the hotel-issued transport card
  • Public transport announcements and signage are clear and multilingual
  • Geneva is compact and many central areas are walkable
